Protect service time from repeat questions.
During a busy service, every phone call and direct message competes with the guests in front of the team. We automate approved guest questions, reservation and catering requests, feedback routing and routine reporting. Ordering, payment and delivery workflows are only included where the relevant platform supports the integration and the operating rules are confirmed.
Who it is for: Independent restaurants, restaurant groups, cloud kitchens and catering teams handling high volumes of routine guest contact.
Problems we see
- The phone interrupts service: Staff repeatedly answer questions about hours, location, menus, bookings and large groups while managing the floor.
- Catering enquiries get buried: High-value event enquiries arrive by DM, email or phone and lack the date, headcount and contact details needed to respond.
- Feedback is handled inconsistently: Compliments and complaints arrive across platforms, with no reliable route to the manager who should respond.
- Daily reporting is manually assembled: Enquiries, bookings, feedback and operational notes are collected from several places after a long service.
Example workflows
Guest question and escalation
Starts when: A guest asks a routine question through chat, WhatsApp or a voice channel.
- Identify whether the question is covered by the approved knowledge base.
- Answer only approved information such as location, opening hours or general booking process.
- Collect details when the request needs a person.
- Route the conversation to the correct manager or team.
A person decides: Allergy and dietary-safety questions, complaints, refund requests and unusual bookings go to a trained person. The assistant never improvises medical or allergen advice.
Result: The team spends less time repeating approved information without putting safety-critical answers into an uncontrolled script.
Reservation and catering request
Starts when: A guest requests a table, large group booking or catering quote.
- Collect date, time, party size, occasion and contact details.
- Check availability only where a supported reservation platform is connected.
- For catering, capture menu preferences, location and budget range.
- Create a booking request or route the lead to the events owner.
A person decides: Large groups, deposits, menu changes and catering quotes are confirmed by the restaurant team.
Result: Event and large-group leads arrive with enough detail for a useful response.
Feedback and daily operations summary
Starts when: A visit is completed, or the reporting window closes.
- Send an approved feedback request where consent and platform rules allow.
- Route complaints and sensitive feedback to a manager.
- Collect agreed operational updates from connected sources.
- Prepare a short daily summary for the manager to review.
A person decides: The manager reviews the summary, handles complaints and decides what action follows.
Result: Feedback and recurring operational updates are visible without a manual end-of-day scramble.
Supported delivery-order support
Starts when: A guest asks about a delivery order, or a connected delivery platform reports an issue.
- Direct the guest to the official ordering channel unless an approved order integration is connected.
- Where a supported integration exists, verify the order and check the permitted status.
- Explain the approved next step and collect any missing context.
- Route delays, refunds, complaints and order changes to a manager.
A person decides: Refunds, compensation, order changes and food-quality complaints are handled by a trained person. The workflow doesn't invent an order status or promise a delivery outcome.
Result: Delivery questions follow a supported channel or a clear human route instead of an improvised answer.
What changes
- Fewer interruptions from routine guest questions during service.
- More complete reservation and catering enquiry details.
- A consistent route for feedback and complaints.
- Less time spent assembling repetitive operational updates.
- A clear delivery-support path only where the order platform supports it.
Works with
- WhatsApp Business and website chat
- Reservation platforms where API access is available
- Approved ordering platforms only where supported
- Feedback and review tools
- Shared inboxes and team messaging
- Spreadsheets or reporting tools
Honest limits
- Ordering, payment and delivery integrations aren't assumed. They are included only when the provider supports the required access and commercial setup.
- Allergen, dietary and food-safety questions require an approved human response.
- Reservation confirmation depends on the booking platform or a manual team confirmation.
Questions
Can the assistant take food orders?
Only if your ordering platform provides a supported integration and the operational rules are clear. Otherwise, the assistant should direct guests to the official ordering channel rather than promise an unsupported capability.
Can it answer allergy questions?
It should provide only formally approved allergen information and route the guest to a trained person for clarification. It must not give improvised dietary or medical advice.
Can it manage reservations?
It can collect requests and check availability where the reservation platform allows it. Large bookings, deposits and special requests usually remain with the restaurant team.
Can it produce a daily report?
We can assemble agreed figures and updates from connected sources into a draft summary. The manager still reviews the report and decides what action to take.
