Remove repetitive coordination from the operational day.
Logistics and manufacturing teams lose time moving information between email, spreadsheets, ERP systems, carriers and customers. We automate defined administrative workflows such as shipment enquiries, purchase-order handling, invoice extraction, dispatch documents, exception alerts and reporting. We don't automate safety-critical decisions or production control systems.
Who it is for: Freight forwarders, third-party logistics providers, distributors and manufacturing operations teams with repetitive administrative coordination.
Problems we see
- Status questions interrupt operations: Customers and internal teams repeatedly ask for shipment or order updates that are already available in another system.
- Purchase orders are re-keyed: PO details and confirmations are copied between email, spreadsheets and finance or ERP tools.
- Invoice exceptions are found late: Mismatched quantities, prices or references surface downstream and require rework.
- Exceptions lack a clear owner: Delays, missing documents and failed updates are noticed by different people with no consistent alert path.
Example workflows
Shipment and order status enquiry
Starts when: A customer or internal user asks for a shipment, delivery or order update.
- Identify the customer and relevant reference number.
- Check the connected transport, order or tracking source where access exists.
- Return the approved status or collect what is missing.
- Create an exception task when the status is delayed, incomplete or unclear.
A person decides: Delays, damages, disputes and commitments about revised delivery times go to an operations owner.
Result: Routine status questions are answered with less manual lookup, and exceptions reach a person sooner.
Purchase order and supplier confirmation
Starts when: A purchase order or supplier confirmation arrives by email or file.
- Extract the agreed fields and match them to the correct supplier or reference.
- Validate required values and flag missing or conflicting details.
- Create or update the approved finance or operations record.
- Route exceptions to the buyer or finance owner.
A person decides: Buyers approve commercial changes, and finance approves payment or credit decisions.
Result: Routine order data is captured faster with exceptions visible before they become rework.
Invoice and dispatch document processing
Starts when: An invoice or dispatch document arrives for processing.
- Classify the document and extract the agreed fields.
- Check totals, references and required supporting information.
- Prepare the approved internal record or dispatch packet.
- Send mismatches and incomplete documents to the responsible queue.
A person decides: Finance, compliance and operations owners review exceptions and authorise payments or dispatch decisions.
Result: Administrative document handling becomes more consistent without removing approval control.
Delivery notification and exception alert
Starts when: A monitored shipment, delivery or operational event occurs.
- Monitor agreed shipment and delivery events from connected sources.
- Send approved delivery or delay notifications where consent and channel rules allow.
- Notify the named operations owner with the relevant exception context.
- Prepare a concise periodic summary for review.
A person decides: Safety, quality, production and customer commitments remain with the responsible operational leads.
Result: Routine delivery updates are sent consistently, while exceptions reach the right owner earlier.
Inventory reorder exception
Starts when: An approved stock or open-order source indicates a possible replenishment need.
- Read permitted stock and open-order data from the connected source.
- Compare the agreed item or category against the reorder threshold.
- Prepare a replenishment request with quantity and supplier context.
- Route the request to the buyer for approval.
A person decides: Buyers confirm quantities, suppliers, pricing and timing. The workflow doesn't control production or place commercial commitments automatically.
Result: Routine stock signals reach the buyer earlier with less manual spreadsheet checking.
What changes
- Faster handling of routine shipment and order enquiries.
- Less manual re-entry across email, spreadsheets and operational systems.
- Earlier visibility of invoice, document and dispatch exceptions.
- A clearer route for replenishment signals before they become shortages.
- A consistent starting point for recurring operations reviews.
Works with
- Transport, order or tracking systems with approved API access
- ERP, finance and purchasing systems where integration is supported
- Email, shared inboxes and messaging tools
- Document storage and approved templates
- Inventory or warehouse records where approved access exists
- Spreadsheets and reporting tools
- Webhooks or structured file exchanges for internal systems
Honest limits
- Administrative automation isn't a safety system. Safety-critical, quality-critical and production-control decisions remain with qualified people and existing control systems.
- Live shipment data depends on carrier, TMS, WMS or ERP access and data quality.
- Legacy EDI, on-premise systems or unusual file formats may need a separate scoping exercise.
Questions
Will this integrate with our ERP or transport system?
It depends on the system’s API, file exchange options and your access permissions. The audit confirms what can be read or updated safely; we don't assume every operational system is integrable.
Can it replace our dispatch or production-control system?
No. We automate defined administrative coordination around those systems. Dispatch decisions, production control and safety-critical actions remain with your existing systems and responsible operators.
Can it answer live shipment status questions?
Only when a current carrier, tracking, TMS or order source is connected and reliable. Otherwise it can collect the request and route it to an operator.
How accurate is invoice extraction?
Accuracy varies by document quality and format. We test representative samples, set confidence thresholds and route uncertain fields to a person rather than treating every extraction as correct.
