Keep jobs moving while the team is on site.
For electricians, plumbers, HVAC engineers, cleaners and maintenance teams, the next job often starts with a missed call. We build practical automation that captures the enquiry, asks the right qualifying questions, coordinates the next step and keeps follow-up visible — while urgent or safety-related work reaches a person quickly.
Who it is for: Owner-operated trades, growing field-service teams and maintenance businesses that can't answer every call while working on site.
Problems we see
- Calls arrive while the team is working: A customer calls during a job, leaves a vague voicemail and books someone who answers first.
- Job details are incomplete: Staff call back to ask about location, access, job type and urgency before they can decide who should attend.
- Quotes lose momentum: A quote is sent and then forgotten because no one has a reliable follow-up queue.
- Reviews depend on spare time: Completed jobs aren't followed up consistently, so happy customers are never asked for feedback or a review.
Example workflows
Missed-call and after-hours enquiry capture
Starts when: A call is missed, or a customer contacts the business outside working hours.
- Acknowledge the enquiry by the approved channel and disclose any AI assistant.
- Collect name, location, service type and preferred contact time.
- Ask a small set of non-diagnostic qualifying questions.
- Create a job or callback record and notify the responsible person.
A person decides: Gas, electrical, flooding, lockout and other urgent or safety-related calls follow an immediate escalation rule. The system doesn't give safety advice.
Result: The team starts with a complete callback record instead of an unexplained missed call.
Job qualification and scheduling request
Starts when: A website form, chat or WhatsApp message describes a job.
- Check whether the location and service are in scope.
- Collect access notes, photos where appropriate and preferred timing.
- Offer permitted appointment windows or create a callback request.
- Add the job to the agreed CRM, calendar or job-management queue.
A person decides: Complex quotes, site surveys and unusual access requirements are assigned to an estimator or supervisor.
Result: Routine jobs reach the right scheduling queue with fewer clarification calls.
Quote follow-up and review request
Starts when: A quote is issued, or a job is marked complete.
- Create a follow-up task with the agreed waiting period.
- Send an approved reminder and capture the customer’s response.
- Route questions, complaints or change requests to the owner.
- After an eligible completed job, send the approved feedback or review request.
A person decides: Pricing changes, discounts and complaints stay with the business owner. Review requests follow the chosen platform’s rules and aren't used to suppress honest feedback.
Result: Follow-up and feedback become a repeatable process instead of an occasional task.
What changes
- A consistent response to enquiries that arrive during jobs or after hours.
- More complete job details before a callback or site visit is scheduled.
- A visible queue for quotes and customer follow-up.
- A more consistent feedback process after completed work.
Works with
- Telephony and SMS providers
- WhatsApp Business
- Field-service or job-management tools with API access
- Calendars and booking systems
- CRM or a structured shared inbox
- Review links from the customer-feedback platform you use
Honest limits
- Urgent, safety-related or regulated work must follow a documented human escalation path, not an AI conversation.
- Real-time technician availability and automatic booking require access to your scheduling system.
- Review requests must comply with the relevant platform’s rules and the customer’s communication preferences.
Questions
Can this answer calls when we are on site?
A voice agent or messaging workflow can capture the enquiry and qualify the job within an approved script. Urgent or safety-related calls should transfer or trigger an immediate callback rather than being handled by the assistant.
Will it provide a price over the phone?
It can collect the information needed for a quote, but pricing rules and final quotes remain a business decision. For many trades, the safer workflow is to qualify the job and route it to the person who prices the work.
Can it book directly into our job schedule?
Yes, if your job-management or calendar platform exposes the required API and permission model. Where that access isn't available, the workflow can create a callback request or send a proposed time for the team to confirm.
Can it ask every customer for a review?
We can automate a feedback or review request for eligible completed jobs, subject to platform rules and customer preferences. Complaints and negative feedback should route to a person rather than being hidden or filtered.
