Webbit
Reduce administrative friction without automating clinical judgement.
Private clinics, dental practices, allied-health teams and specialist providers face constant non-clinical admin: appointment requests, reminders, reception questions and document collection. We automate defined administrative workflows only. AI isn't used as a substitute for clinicians, diagnosis, triage or clinical decision-making, and data handling must be reviewed against your obligations.
Who it is for: Clinic managers, practice owners and administrative teams looking to reduce reception pressure without changing clinical responsibility.
Problems we see
- Reception is interrupted constantly: Routine booking and preparation questions compete with patients who need immediate human help.
- Reminders are inconsistent: Appointment confirmations and follow-ups depend on staff finding time between patients.
- Patient forms arrive incomplete: Administrative intake documents need manual checking and repeated chasing before a visit.
- Urgent and routine requests are mixed: Teams need a clear route that escalates urgent or clinical questions rather than treating every message the same.
Example workflows
Appointment request and reception routing
Starts when: A patient requests an appointment by phone, website or approved messaging channel.
- Capture approved administrative details such as contact information and appointment type.
- Offer permitted slots where the practice-management system supports booking.
- Create a reception request where live booking is unavailable.
- Route any clinical, urgent or ambiguous question to a trained person.
A person decides: Clinical triage, urgent symptoms, safeguarding and medical questions go directly to the clinical or reception team. The workflow doesn't diagnose or assess symptoms.
Result: Routine booking requests are collected consistently without placing clinical judgement in the automation.
Reminder and rescheduling support
Starts when: An appointment is due, or a patient asks to change a booking.
- Send the approved reminder through the consented channel.
- Capture confirmation, cancellation or rescheduling intent.
- Update the schedule only where the approved integration allows it.
- Send exceptions and complex changes to reception.
A person decides: Reception confirms changes where required and handles vulnerable, urgent or complex cases.
Result: Routine reminders and change requests are handled with fewer calls while human teams retain control.
Non-clinical document intake
Starts when: A patient is asked to provide administrative forms or documents.
- Send the correct approved checklist and secure submission route.
- Check that required administrative fields are present.
- Flag missing documents and send permitted reminders.
- Route the file to the authorised reviewer.
A person decides: Clinical documents and any decision about care are reviewed by qualified staff. Access is limited to the people who need it.
Result: Administrative intake is cleaner before it reaches the clinical team.
What changes
- Fewer reception interruptions from routine appointment requests.
- More consistent reminders and administrative follow-up.
- Cleaner non-clinical intake with missing items visible earlier.
- A documented escalation path for urgent or clinical questions.
Works with
- Practice-management or EHR systems only where approved API access and data terms exist
- Approved calendars and booking tools
- Telephony and patient messaging channels
- Secure forms and document storage
- Reception and task-management queues
- Identity and access-management controls
Honest limits
- The automation doesn't diagnose, triage, prescribe or replace clinical judgement.
- Patient-data handling, access controls, retention, vendor terms and any required agreements must be reviewed with your team before launch.
- Urgent symptoms, safeguarding concerns and clinical questions must follow a documented human escalation route.
Questions
Is Webbit providing clinical AI or diagnosis?
No. This service is for defined administrative workflows. Clinical questions, diagnosis, treatment advice and urgent patient concerns remain with qualified healthcare professionals.
How is patient information protected?
We scope the minimum data required, limit access and document the data flow. Your practice must review the relevant legal, regulatory and processor terms for its jurisdiction before any patient information is connected.
Can it connect to our EHR or practice-management system?
Sometimes. Access depends on the provider’s API, commercial terms and your security review. Where connection isn't appropriate, we can scope a request-and-route workflow without direct record access.
What happens to urgent messages?
They follow a defined escalation rule to a person. The assistant must not attempt to assess urgency or provide medical advice, and the route should be tested before launch.
