Intelligent Document Processing in 2027: Invoices, Forms and Contracts
What intelligent document processing can do in 2027, which documents suit it, how confidence checks and exceptions keep it accurate and what to measure.
Somewhere in your business, a person is retyping a number from a PDF into a system. Invoices, delivery notes, application forms, KYC documents and contracts all arrive in different shapes, and a lot of skilled time goes on copying and checking them. Intelligent document processing, usually shortened to IDP, takes over the reading and copying, and leaves people with the checking that needs judgement.
What IDP does
- Receives documents from email, upload forms, scanners or shared folders.
- Recognises the type: an invoice, a purchase order, an ID card, a bank statement.
- Reads the text and extracts the fields you've asked for, such as supplier, date, amount, tax and line items.
- Checks the result against rules and your records, for example matching an invoice to a purchase order.
- Sends clean data to your accounting, ERP or CRM system and files the document.
- Routes anything uncertain to a person, with the problem highlighted.
What has changed by 2027
Modern tools handle messy scans, photos and varied layouts far better than older template-based systems, and they can read a document type they haven't seen before. That helps, but it doesn't remove the need for checks. A tool can read a smudged number confidently and be wrong. The design question has shifted from "can it read this?" to "how do we catch the cases where it reads it wrong?"
Documents that suit IDP
| Document | Fields often extracted | Typical check |
|---|
| Supplier invoices | Supplier, invoice number, date, totals, tax, line items | Match to purchase order and receipt |
| Purchase orders and delivery notes | Items, quantities, delivery details | Compare with the order and stock |
| Application and onboarding forms | Names, addresses, dates, signatures | Required fields complete, formats valid |
| ID and address proofs | Name, number, date of birth, expiry | Expiry date and consistency with the form |
| Bank and expense statements | Dates, descriptions, amounts | Totals reconcile |
| Contracts | Parties, dates, renewal terms, key clauses | A person reviews flagged clauses |
Keep accuracy high
- Use confidence scores. Set a threshold below which a document goes to a person.
- Validate against rules: totals add up, dates are sensible, tax numbers have the right format.
- Cross-check with your own data, such as supplier lists and purchase orders.
- Sample the automatic approvals each week so you catch drift early.
- Feed corrections back, so the same mistake doesn't repeat.
The exception queue is the product. The extraction is the easy part. The value comes from a clear queue where a person sees the document, the field in doubt and a one-click way to fix it.
A worked example (illustrative)
| Step | The system | The person |
|---|
| 1. Invoice arrives by email | Reads the PDF and extracts supplier, number, date and amounts. | Nothing yet. |
| 2. Check | Matches to the purchase order and flags a mismatch in tax. | Nothing yet. |
| 3. Decide | Auto-approves matches within tolerance and queues the mismatch. | Reviews the mismatch and approves or queries it. |
| 4. Post | Sends the approved invoice to the accounting system and files the PDF. | Spot-checks a sample weekly. |
Security and privacy
Documents hold personal and financial data. Decide where they're stored, who can read them, how long you keep them and which suppliers process them. In India, include document flows in your DPDP data map. Use multi-factor sign-in on the system, and keep an access log. For wider controls, see our small business cybersecurity checklist.
What to measure
- Minutes of handling per document, before and after.
- Share processed without a person, and the error rate in that group.
- Time from receipt to posting.
- Late payments or missed discounts caused by delays.
- Exceptions by cause, so you can fix the root.
Mistakes to avoid
- Trying to automate every document type at once.
- Treating high confidence as certainty and skipping sampling.
- Ignoring poor scan quality, which causes most errors.
- No owner for the exception queue.
- Storing documents in a tool with no access control or retention rule.

Get your team out of the data-entry business
Every hour spent retyping a figure is an hour not spent on the work only your team can do, and every typo is a payment, a customer or a record that goes wrong. Webbit builds document workflows that read, check and route your paperwork, and leave a clear queue for the cases that need a person.
- Send us a few examples of the documents that cost you the most time.
- We map the fields, the checks and the exceptions with you.
- We build, test on your real documents and measure the difference.

Frequently asked questions
What is intelligent document processing?
Software that reads documents such as invoices and forms, extracts the key fields, checks them and sends the data to your systems, passing uncertain cases to a person.
How accurate is IDP?
It depends on document quality, the layouts and the checks around it. Good set-ups combine confidence thresholds, rule checks and sampling, so errors are caught before they cause harm.
Which documents should we start with?
Pick one that arrives often, follows a pattern and has a clear check, such as supplier invoices. Add other types once the first is stable.
Is it safe to process sensitive documents with AI?
It can be, with access control, encryption, clear retention rules and a review of where the data is processed and stored. Check this with any supplier before you start.
